The Tanzania Ophthalmology Society (TOS) works in ensuring that all eye care physicians, Ophthalmic nurses and all other personnel involved in eye care in the country are coordinated through TOS. TOS has the sole mandate of providing CPD, Professional congress and it is the custodian of all eye health events in the country. TOS works through partnership with the National Eye Care coordinator at the MoH for improving eye care in Tanzania through professional training, research, eye health advocacy, and providing consultations to all matters of eye health in the country. To achieve all these TOS has to establish excellent coordination of all the eye care personnel in the country.
Programs Administrative Intern
An outstanding individual is required to support the above roles and responsibilities.
The Intern administrator will report to the President of TOS and the secretariat.
DUTIES AND RESPONSIBILITIES:
The Intern administrator will be expected to:
1. Coordinate office activities and operations to secure efficiency and compliance to society constitutions and policies.
2. Support the administrative matters of the society. This includes scheduling, corresponding with other organizations/ individuals, and effectively communicating with all arms that works with TOS.
3. Create, update and maintain TOS Members data base monthly and reach out potential TOS Members to join the society
4. Create monthly members updates and statement for Reminding Members regularly to pay their dues and be aware of membership status
5. Post TOS activities and weekly updates on TOS medias (Website,Tweeter, blog, facebook page, Instagram etc)
6. Link TOS to other eye care forum inside and outside Tanzania for impact factors
7. Manage agendas/travel arrangements/appointments/phone calls and other correspondences for TOS related activities where applicable and ensure proper documentation and reports are generated. Maintain soft and hard copies of all correspondences.
8. Support budgeting and bookkeeping procedures
9. Track deadlines of society agreements and projects, assist other members of the society in keeping deadlines.
10. Submit timely reports and prepare presentations/Proposals as assigned
11. Assist in managing society properties, advance preparations of training for professional development, appraisals, developing policies and procedures and standard operating procedures for use with eye care practitioners in the country
12. Perform any other duties assigned by his/her supervisor.
QUALIFICATIONS AND EXPERIENCE
Required Qualifications:
1. A minimum of Diploma in office Administration and/or Management, Health management, Business related fields, Law related studies, Health Sciences related studies or equivalent work experience
2. Excellent verbal and written communication skills in Swahili and English; outstanding interpersonal abilities skills
3. Computer skills including using Microsoft Office (Word, Excel, Publisher and Power point), Management software, teleconference software , managing calendars, web browsing, mobile app usage, Social media usage
4. Familiarity with office management procedures and basic Accounting knowledge on creating financial statements and maintain cash flow
Preferred Qualifications
1. Previous experience in professional society management and/or a health care setting working
2. Medical Literature Search Skills (using Pubmed, Up-to-Date, the medical library etc)
The programs administrator position requires an individual who is Trust worth and Honest with right attitude.A self-motivated, detail-oriented, able to work effectively with a team or individually, and who can meet strict deadlines with less supervision

ELIGIBILITY
Must be a Tanzanian Citizen aged between 18 to 35 years
